Envoice’s approval process allows setting an Approval Limit for each user with approver roles, defining the maximum invoice amount in the company's base currency that the user can approve. If the invoice amount exceeds the user’s set Approval Limit, the approval process must also include a user whose limit is higher than the invoice amount or who has no approval limit at all.
If a user has no Approval Limit set in their settings, they are considered to have an unlimited approval limit.
Which Amount is Used for Approval Limits?
All Approval Limits are compared against the net amount of the bill in your base currency, which is the subtotal before any applicable taxes are added.
This standard practice is used because the net amount reflects the actual cost to your business.
Threshold Amount
Envoice approval workflow templates can utilize the Threshold Amount functionality. When applying a template, if a threshold amount is set for an approver within the template, it checks this amount.
- If the invoice net amount in your base currency is less than the approver’s threshold amount in the template, no further approvers are needed in the approval process, and the invoice can be fully approved by just this user.
- If the invoice net amount in your base currency is higher, the template will also include a user whose threshold amount is higher than the invoice amount.
- If no threshold amount is set for a user in the template, they are considered to have an unlimited threshold amount.
Setting an Approval Limit
- Log in to Envoice company account
- Go to Settings > Users and select the desired user.
- Click Show more options, and from the dropdown menu set the Approval Limit in the company's base currency for the user.
- Click Save.
